Uplands Research Support Administrator

  • Salary: £5,100 p.a. (£25,498 p.a. fte)

Job purpose

The Upland Research team require administrative support for one day per week working at our Eggleston Office to cover for maternity leave. The post holder will undertake a wide range of administrative duties to support the smooth running of office operations for the Trust office and accommodation. In addition to working with research team, the role will involve working with the Trust’s Facilities, Human Resources, and Finance teams to ensure the efficient and safe running of office operations, recruitment, staff training, and maintenance of records.

Partnerships

The post holder will be the central point of contact for the North Pennine upland research team and will liaise with landlords, utilities providers, and contractors. From time to time the support officer will be required to speak with landowners, land managers and NGOs that the research team work with, along with taking calls and emails from our members and supporters.

Key accountabilities and responsibilities

  • Maintain the Eggleston and Bywell offices – oversee cleaning, maintenance, office supplies, and act as the main point of contact with the landlords. Overseeing security measures and ensuring all staff have sufficient access to the office.
  • Staff and student recruitment and accommodation – support research staff in the recruitment of new staff and students, ensuring IT equipment is available, inventories and checks have been taken for the student accommodation along with managing council tax, and utility bills with the council and landlord.
  • Equipment – conduct and keep up to date inventories of field and lab equipment held by the team and order additional equipment/supplies when necessary.
  • Training – update training records to ensure staff and students are up to date with training, such as, first aid, fire warden and 4x4 driving training, and organise training, liaising with HR as needed.
  • Responsible person for fire safety - attend necessary training courses, co-ordinate all fire safety checks and make sure the office is free of fire hazards. Organise fire drills, and ensure fire extinguishers, smoke alarms, fire exits, etc. are maintained and serviced.
  • Electrical goods – liaise with external contractors to book and allow access for annual PAT testing and any other maintenance needs.
  • Communications – support the upland research team in organising and holding team and committee meetings, including; booking travel and accommodation, circulating agenda’s, recording minutes and actions for the meetings.
  • Team locations – ensure the team and keeping the location sheet update weekly.
  • Newsletter – support the team in compiling the quarterly newsletters, ensuring contributions are sent in a timely fashion, to be circulated within the team for changes and send final versions to the comms team.
  • Miscellaneous – complete other record keeping tasks as and when necessary.

Person specification

Essential

  • Good team worker, strong organisational and communication skills, with the ability to manage multiple priorities.
  • Experience in operational administration, including facilities and recruitment support and Health & Safety administration.
  • Working knowledge of office computing, including competence of using Microsoft Outlook and Microsoft Office applications (Word, Excel).
  • Valid UK driving licence.

Preferable

  • Experience working within the upland game and wildlife sector.
  • Familiarity with research logistics and scientific communications.
